ABA Data
Merge Utility for Legrand CRM
In
some instances, despite the best
efforts, duplicate company or
contact records maybe created in
your Legrand database. This is
usually the result of data import
processes where data is imported for
multiple sources.
To ease the manual
process of removing duplicates ABA
have developed a data merge utility
which enables the merging of
duplicate records. The program is
flexible in the functions it
performs but the core process
involves selecting the key record
(the one that will be kept), then
the duplicate records, specifying
what components to merge (e.g.
activity notes, events, contacts
and/or keywords) and performing the
merge.
The program includes safety
functions as well that creates a
record of any records that a remove
and also allows for activity note
recording to track merge history.
Summary of ABA Data Merge Utility Features
|
|
General Functions (for
contact and company level
operation) |
|
- find duplicate records
based on manual search (e.g.
where last name = x).
Similar to Legrand these
searches accommodate
multiple criteria (e.g.
where first name = x
and last name = y).
|
-
detect duplicate records
based on repetition of a
particular field value (e.g.
list all records where
company name is not unique)
|
|
Contact Record Merge
Execution |
|
1. A prime contact is
selected and a duplicate
(the one the will be removed
subsequent to the merge
process
|
2. The utility moves all
Legrand records and history
associated with the
duplicate contact to the
prime contact. This means
all database records
associated with the contact
specified as the duplicate
contact are updated to be
linked to the prime contact.
This includes;
- keywords (if desired)
- activity notes (including
relocation of any
attachments)
- tasks
- calendar events
- opportunities
- campaigns
- customer service
- item tracking
|
3. A backup of the
duplicate record is then
taken (stored via activity
notes assigned to the prime
contact) before the
duplicate contact is
deleted.
|
|
Company Record Merge
Execution |
|
1. A prime company is
selected and a duplicate
(the one the will be removed
subsequent to the merge
process
|
2. The utility updates
all database records to
remove record links to the
specified duplicate company
which are updated to link to
the prime company. This
includes;
- reallocating contacts from
the duplicate to the prime
company
- reallocating keywords (if
desired)
- reallocating all other
historical records to link
to the prime company (e.g.
opportunities)
|
3. A backup of the
duplicate record is then
taken (stored via the
documents tab against the
prime company) before the
duplicate contact is
deleted.
